Bonsai is a Palm program by a company called Natara. You can find it at Palmgear.com and download a free trial. Bonsai is what you would call an outliner program. An outliner displays information in a tree-view or explorer-view like interface. There are a few really good ones out there for the Palm but I happen to think Bonsai is the best. Do not underestimate their power as I have taken the time to read manuals for programs like this that can reach over 150 pages. I’ve researched quite a few outliners & you need not look further than Bonsai if you use a Palm.
What I will do here is “outline” a way to implement GTD (Getting Things Done) using Bonsai. This is what I believe to be an almost flawless implementation that with upgrades to its features that I’ve already made to the Natara Forums will take it to a whole other level beyond what already is an amazing resource.

This is the start screen on the desktop. Peaceful in its simplicity yet it holds all of your Next Actions, Calendar Events, Project Actions, Ticker file, and Someday/Maybe items. In fact, all your contexts are created without using Categories, Filters, or even Keywords. This now means that you have the freedom to use them in other ways to customize your outline to your liking. You are not limited to 16 categories, hard to access keywords, or complex filters that are difficult to create. How is this even possible? This is all now possible because of a little feature suggestion of mine that got implemented that allowed for Zooming in & out on the 5 way navigator.

The “context parents” which before would have cluttered your list are no longer an issue when you Zoom into them. This frees you from a 16 category limit because you can create as many 2nd level “context parents” as you want. This also frees you from dialogue boxes you’d encounter with filters and keywords. This system allows for quick one handed operation on the palm when you’re navigating using the 5 way.

Filters can now be powerfully used to augment the added Calendar heading. If you can keep your actions and events together, why not do so? Viewing your list using flat list filters and zooms makes adding more headings and items a non issue. You can see I leverage time in my use of filters.
How do I handle someday/maybe items? Very simply by using the start date attribute. I can set the start date for a someday / maybe item for 6 months from now. Six months later it will show up in a either a this week or next week filter. However, just like in the previous picture I can create headings to group items and yet all headings disappear when the list is filtered. How about alarms and the fact they are missing in Bonsai? I simply link out to date book and set the alarm there for only the current week. If I use “Back to Bonsai” I can easily jump back and forth.
How are project actions managed? How can this system be used to track projects and their actions that can come from multiple contexts? Well, I have a project myself and that project involves this very blog. Beyond what I have written here I have written a full description of this system with all the specifics inside a Bonsai Outline. You can import it into your Bonsai Desktop and then synchronize your palm and have an actual template to create from. It’s free and all I ask is that you leave a comment. I’ll send you the outline by email. Your email is not used in the comments at all and remains private. I will also add you to my weekly (once a week email) newsletter which you can unsubscribe from at any time. Interesting implementation, may cause me to dust off Bonsai for GTD use. I used to use it for that, but it got too complex, so I am currently trying other GTD implementations (AcroWiki and NoteStudio)

I have tried a couple of Bonsai implementations too… and just made it too complex - just the way you commented in your note. I have a need to enter things FAST… and I always over engineer… so I am very interested in your solution. I hope you would be willing to send me your approach…. I don’t use a palm… I have Bonsai on the desktop..

I keep coming back to Bonsai as the best way to outline my life. I’ve tried Stuart’s postings as a jump-off point, but never got to the full implementation.
I would rather tweak indefinitely than finish implementing a system, so please send me the outline ASAP so I can FINISH my tool-gathering and start processing!

Thanks for all this effort. I have used Bonsai for a while but only recently have I started doing GTD. I implemented Stuart’s basic GTD system and tweaked it for myself. It is working well, however, it is a bit cumbersome. Please send me your template. I’m hoping this will be a bit leaner, yet equally powerful.

I would also like to try your template. I have been using Bonsai for my GTD for a while, but find it too complex.
I would be interested to know how you change a NA into anther one (when the first is complete) - it seems that you would have to actually move it through the hierachy to it’s new location (as opposed to simply changing it’s category without moving it)?

I really like the simplicity of your idea. After reading Getting Things Done, I tried implementing the ideas using Bonsai, but I never could make it work for me–it simply got too cumbersome. I love Bonsai, but I’m sure I’m not using it to its full capabilities.

right now, I use http://www.socialtext.com. On the PC, it’s a robust wkik. What I really really like, though, is that it’s also en editable wiki on my Treo.

I visited all the sites listed in the GTD Wiki and Bonsai was the only one that seems to allow one to take advantage of the both the desktop and the Palm synching feature. I was idscouraged about setting it up as other apps such as My Life Organized provide templates and detailed tutorials from newbies to GTD like me. Then I discovered this blog, it seems you have done for them what the developers should have done in the first place! I’d be grateful for your template, and I hope you will provide a full tutorial on how best to take advantage of its power….

Great work. I’ve extensively experimented with GTD using LifeBalance, Shadow and now Bonsai. I find your simplified approach both liberating and refreshing. I think I could actually “trust” this for GTD - at least more so than the quasi-systme I’ve hacked together at this point. Would love to experiment with you template.

Am trying to decide if I should now use outlook as my GTD platform or my palm TX. Have never had good luck with the outlook conduits on my IIIx so didnt even bother synching when got a new job but really would like to use the TX more effectively. Does Bonzai sync well? have you compared to shadow plan?

A simple but comprehensive looking approach; do you need to go searching for things that are mis-filtered because of input errors often?
That’s what usually gets me when usuing filters.

Fox, I’ve been using GTD on my Palm quite successfully but then, my Palm crashed and I had to reload everything. All my icons ended up different to how they were before and well, I just sort of lost interest. A new, simpler system could be just what I need to get me GTDing again.

Google’ing all over the web to find a tool set with a good prospect of longevity using hardware I already have to bolt to my hip as I implement the GTD system has led to this door. Would very much appreciate the template AND wold also be very interested in what interest we might present to Natara to motivate them to develop a Bonsai Mac OS X desktop application and Palm syncing solution. Not interested in starting a PC OS flame war — people make choices for good reason, I just happen to enjoy the Palm and OS X platform while having to use Windows in the work environment. So to be fully engaged in the GTD methodology, I need tools that span all these platforms. Rally ho!

I’d like to take a look at your Bonsai Outline for GTD. I like Bonsai, but always run into an issue that the outlines are disconnected from Outlook where so much of the communication about projects is handled. Any thoughts on the disconnect between Bonsai and Outlook? I’d love an add-in that let me create a Bonsai item from a email (like ClearContext or the official GTD add-in).

Michael, I know what you mean. There are some who think outlook is evil and some who think of it as a necessary evil. I have been asked about it before and will probably still be asked about it again because it is so widespread.
It is something I will take a look at but there doesn’t seem to be a lot of interest on the development side over at Natara for this so it would need to be some kind of work around, unfortunately.
I’ll see what I can come up with.

I’m finally “restarting” my GTD approach and committing to tools. I have decided on Bonsai and would love to get a copy of your template. As Michael mentioned, my biggest issues with tools has been the Outlook demon. I can’t stand it, but its the corporate standard and where all the communication and calendaring is done! Good luck on noodling a potential work around…

I love Bonsai and I use it for about 2 years now. For the last six months I had an increased amount of projects at work and just using Bonsai is not enough anymore. Love Bonsai and GTD. Would love the template. I have add and, thus, need substantial structure in my life. I have add and, thus, get hyperfocused on meaningless minutiae (I’m just finishing my trial period with Bonsai, and i’ve already read the entire manual and made a boatload of lists with categories, icons, dates, links - more productivity like this and i’ll be out a job)
Is the template set up so that completed tasks will be filtered, or do you have to cut and paste to a separate “completed” heading?

I’ve been an avid ShadowPlan user for some time but am looking to possibly make a change. No criticism really of SP except that my day to day affairs have now put me more and more in front of my computer and less in front of my handheld so I need a better desktop implementation than SP currently supports. Could you send me your outline template? I’m new to Bonsai, and also to GTD - trying to find the ‘best’ way to implement GTD (or at least something like it) - preferrably on the Palm since I always have my Treo with me. On the otherhand, I wish there was some way of “keeping track” of a delegation (i.e. Knowing the status of something I delegated, automatically) in which case something like AirSet or Accomplice or ThinkingRock would work,.. but then, none of these are “portable” OR are as powerful, individually, as Bonsai….

I’ve used a Bonsai for a few years as a pseudo-database system and even tried a system (that failed) for tracking projects. I’ve been using Agendus for a awhile, but it doesn’t really seem to apply very well to GTD principles. Everything I’ve seen so far ends up being too complex or kludgy.
The best I’ve seen on the Desktop side is MonkeyGTD, which is a variant of TiddlyWiki, but I want a sytem I can synch with my Palm, so that’s not a complete solution.
Lately I’ve resorted to just paper using a hipsterPDA 3×5 card system as described by Merlin on 43 Folders. However, after Googling around to find any good GTD Palm apps, your Blog came up and looks intriguing. since I already have Bonsai, I look forward to loading your template and giving it a go.

Gosh - I’ve used ShadowPlan - but find it unattractive to work with. I appreciate that this may not be important to some, but to us folk who are ‘picturesmart’ well, it helps! I’ve downloaded a trial version of Bonsai to see if this will help and would dearly love to try your GTD method. Currently I am using SP with DB6 - but it’s not great that’s for sure. So I looked at the template…I have a basic problem: how can I use Bonsai’s original feature: as an outliner. Isn’t that the goal of the whole app? I create a project and I do my work breakdown structure and I insert my todos/tasks into the lowest level. Some of them becomes a NA. If I have NAs grouped together under contexes and under one 1st level item, how can I do an outline? Do I miss something?

You have lots of options. You can always link to another outline and use the outline structure there. I focused on this mostly as a GTD implementation and I do not intend this to be the only way to use Bonsai.

I just downloaded the trial version of Bonsai. Rather than spend alot of time trying to develop my own system of GTD implementation, I would like to try your template. I wish Bonsai had all the customizable columns that Ilium Software’s ListPro has. ListPro is very flexible. I wish Natara would take a look at it and add lots of ListPro features to Bonsai!

I am a brand new Bonsai user. I would like to know if I can use Templates if I do not have the desktop feature, I only have the on-the-Palm version 4.1.2.
I am trying to get thru the docs, but the v9 of Docs to Go doesn’t seem to show the graphics, so I have to go thru it slowly on Adobe Reader on my PC.
I still don’t know how this works, completely, - yet.

I’ve been trying to use Outlook for the same purpose, using a custom naming convention to associate actions and projects, but the lack of ability to create task hierarchies makes it difficult to use Outlook as a serious time management tool. So, I am back to looking for another solution. Bonsai and Treo might be the ticket.

I bought Bonsai but have not used it. I would like to create a simple structure: Name of outline: U.S. v. Anybody #07-123; pleadings with deadline alerts; discovery with room for comments; correspondence; defense notes; trial preparation: opening, witnesses/crossexamination; witnesses direct examination; evidence; demonstrative evidence; jury instructions; closing.
Did I mention that I am a trial lawyer? Can I have a copy of your template? Any suggestions on how to learn to use the program?

I’m intrigued. I would love a GTD implementation where I don’t have to analize how to set up a system of systems to get things done. I just want to be able to note what I want to do, see when it needs to get done, be able to view and analyze on the fly, do what needs to get done and track it until it gets done.

291. Enoch. I don’t understand and I think it may be a language reading thing. It seems your system is more project based. I may be more context based. I can have as many contexts as I want and see all actions within that context - project related or not.
I think it is fine if you adopt your system for a more project centered approach but I don’t want to use filters, comments, or keywords for managing my contexts in order to keep it simple and zoomable.

I recently implemented GTD using Datebk6 and have found that it has improved my ability to GTD. Great videos! I love my Sony Clie` for it’s 13mm thinness and 320×480 screen, but it doesn’t have a D pad. It has a jog wheel and page up/down buttons on the back. I can use the jog wheel select to expand/collapse, but couldn’t figure out how to get the page up/down buttons to do anything.

I don’t use a clie but I completely understand your love of
its form factor and features which I think were ahead of its
time. There are options called “Jog Wheel Scroll by page”
and options for “Jog select” under the “Nav” tab in Global
settings. I am not sure what they do or how they might help
you but hopefully this will point you in the right direction.

Hi, I’d be interested in your template. I’m already using a setup of my own, but find myself somewhat limited by the categories.
I’m interested to see if your use of Contact as a free-text field is workable on a large scale (since there’s no typeahead, and the selection feature of that field frankly sucks).
Being impatient, I found a copy of your template somewhere online and had a look. There are quite a few typos, so I hope the “official” version is better.

One question. I love the idea of using the Contact laterally. However, what I’d like to know is how to configur so that the drop down list on Palm corresponds to Desktop. Currently, Palm shows the real Contact list.

I’ve just started reading about Getting Things Done, but I’ve been using a Palm for over 7 years and Bonsai for almost that long. I have tended to use Bonsai for long check lists and planning, but not as a ToDo system. I watched the first video and am intrigued. Please send me your template. I don’t know if this is mentioned earlier. But in your video you said about a workaround using the D-pad centre button for opening notes. This is also possible with a Treo 650. But you have to push the option button when you push the centre button.

Hi Fox! I use the Bonsai already for a long time. And I find it very useful and most powerful organized software for Palm platform (and not only). All our attempts to organize the information on world around encounter its multidimensionality. And tree-view is most visual representation form, where multidimensional emulated by multilevel. But what first and what second level? I permanently think about this and permanently restructuring my Bonsai files! Because I deal with many projects, events and contacts in my work. Thank your for this idea!! I’m very interested in checking out your GTD template.

I’ve been using bonsai, for the past few years, and really enjoyed it. however, I know I have still yet to use it to its FULL potential!
I’ve also known about and somewhat implemented GTD… not as successful as I would like to be. and I have a Treo 680, which I am increasingly enjoying! (it’s productive value and use!)
I don’t remember how, but I stumbled onto your blog here, and now am greatly interested and curious about your bonsai gtd outline template! it’s like the amalgamation or sythesis of several concepts at once!

Very useful site. Been using various outliners over the years. Shadow may have more features, but bonsai has great appearance, active development and simplicity.

Very interesting and well thought through. I’ve been using Bonsai for a couple of years for “sort-of” implementing GTD. I have never quite achieved the balance between all of the detail I typically plan at / try to dump into the system — and a high level simplicity that is required by the limited real estate on a Palm. I look forward to playing around with your template.
